Photographing Damage the Way an Adjuster Needs to See It

Everyone knows to take photos after an incident. Far fewer know what makes a photo useful to the person who has to assess the claim from it, and the gap between the two often shows up in the settlement.

Within that sequence, one task gets treated as simple and self-evident: take photos. Most operators do exactly that. They pull out a phone and take a dozen pictures of whatever looks damaged.

The problem is that a photo taken quickly, under stress, without a specific framework in mind, often fails to do the one thing it needs to do: give an adjuster, an underwriter, or an attorney enough information to assess the claim without having to be physically present at the property. This piece is specifically about the difference between photos that document an incident and photos that merely record that something happened.

What an Adjuster Is Actually Trying to Determine From Your Photos

An adjuster reviewing photographic evidence of a loss is typically trying to answer several specific questions, and photography that's organized around answering those questions produces a fundamentally more useful record than photography that simply captures what caught your eye.

What is the full extent of the damage, not just the most visually dramatic part of it. What was the condition of the affected area before the damage occurred, to the degree that can be established. What is the scale of the damage, how large an area, how deep, how extensive. What is the likely cause, based on what's visible in the physical evidence. And how does the damage in one location relate to damage in other locations, is this a contained, isolated event, or does it connect to a broader pattern (water that traveled from one room to another, smoke that moved through a ductwork system, structural damage that extends further than initially visible).

A photo of a burned countertop answers almost none of these questions on its own. A systematic sequence of photos, the whole room, then the specific area, then close-up detail, repeated for every affected space, with something establishing scale in the frame, answers most of them.

The Wide-Medium-Close Sequence

Professional damage documentation, whether done by a public adjuster, a restoration contractor, or an insurance company's own field team, generally follows a consistent structure: wide shots establishing context, medium shots showing the specific damaged area in relation to its surroundings, and close-up shots capturing the detail of the damage itself. Following the same structure, even without professional training, produces materially better documentation than an unstructured series of close-ups.

Wide shots. Start every room or area with a photo (or several, if the space requires it) that shows the entire room from a doorway or corner, capturing the full context: where the damage sits relative to the room's layout, what's adjacent to it, what wasn't affected. This establishes the scene before zooming into any specific detail, and it's often the shot that later makes clear whether damage extended further than initially assumed.

Medium shots. Move closer to the specific damaged area, but keep enough surrounding context in the frame that a viewer can understand where this specific damage sits within the room shown in the wide shot. This is often the most skipped step, people tend to jump from the wide room shot straight to an extreme close-up, leaving a gap in the visual record between "here's the room" and "here's the specific spot," which can leave the adjuster unable to reconstruct exactly where the close-up was taken relative to the room.

Close-up shots. Now capture the specific detail, the char pattern, the water line, the crack, the specific point of failure. This is where the granular evidence lives: the texture of the damage, the specific materials affected, anything that speaks to cause or severity at a level of detail the wide and medium shots can't provide.

Repeat this three-shot sequence for every distinct area of damage, not just once for the space as a whole. A fire that damaged a kitchen and traveled smoke through an adjoining living room needs this sequence run separately for the kitchen, the living room, and any other space showing effects, not one wide shot of the kitchen standing in for the whole incident.

Establishing Scale

A close-up photograph of a crack, a water stain, or a burned section of material conveys very little about actual size without something in the frame to establish scale. A six-inch crack and a two-foot crack can look nearly identical in a tightly cropped photo with nothing else visible for reference.

Include something with a known, standard size in the frame whenever practical: a tape measure extended across the damage, a common object like a dollar bill or a standard sheet of paper, or simply a hand or foot positioned near the damage for rough scale reference. This single habit, nothing more complicated than remembering to include a reference object, measurably improves how useful a close-up photograph is to someone assessing the claim remotely.

Photographing the Cause, Not Just the Effect

Damage photography often focuses entirely on the visible result, the burned material, the water-stained ceiling, the broken fixture, without documenting the apparent source or cause. Where the cause is visible and identifiable, photograph it specifically and separately from the damage it produced.

If a space heater is the apparent ignition source, photograph the heater itself: its condition, its position relative to what it may have ignited, any visible malfunction or defect, and, if visible and legible, its model information or safety labeling. If a burst pipe is the source of water damage, photograph the pipe itself, the apparent point of failure, and its surrounding condition, not only the water damage it caused downstream. If a specific piece of furniture or equipment appears connected to the incident, photograph it independently of the room-level damage documentation.

A photographic record that documents only the damage, without capturing the apparent cause, leaves the adjuster's determination of cause resting more heavily on other evidence, testimony, fire marshal reports, expert inspection, than it needs to.

Photographing Safety Equipment and Its Condition

If the incident involved a fire or a scenario where smoke or CO detectors should have activated, photograph the detectors themselves, their location, their apparent condition, and, if accessible without disturbing the scene, the manufacture date label on the back of the unit. The same principle applies to any other safety-relevant feature connected to the incident, a pool gate latch, a stair railing, a smart lock. If the incident involves one of these features, photograph its specific condition as part of the documentation sequence, not just the injury or damage that resulted.

Documenting What Wasn't Damaged

It's counterintuitive, but photographing areas that were not affected by the incident is often as useful as photographing what was. This serves two functions.

First, it establishes the boundary of the damage, showing clearly where the affected area ends and unaffected space begins helps an adjuster assess the actual scope of the loss rather than assuming a larger or smaller area than what's actually true. Second, unaffected-area photos, particularly of rooms adjacent to the damage, can later become relevant if a dispute arises about whether damage in a specific location was caused by this incident or was pre-existing, an unaffected adjacent room, photographed at the same time, helps establish what the property looked like immediately after the event, room by room, rather than leaving that record incomplete.

Timing and Metadata

Photographs taken on a smartphone typically carry embedded metadata, the date and time the photo was taken, and often GPS location data, which can be relevant to establishing when documentation occurred relative to the incident itself and any subsequent repair work. Avoid editing or cropping photos in ways that strip this metadata before providing them to a carrier, and avoid delaying the transfer of photos off the phone in a way that risks losing them.

If there's a meaningful gap between when the incident occurred and when photos were taken, because access to the property was delayed, because of a multi-day event like a slow water leak, or for any other reason, note that gap explicitly in the contemporaneous written record discussed in Threshold STR's piece on the first 24 hours. Video as a Complement, Not a Replacement

A video walkthrough, in addition to still photography, captures spatial relationships and context that a series of still photos can sometimes miss, how one damaged area connects physically to another, the overall condition of a space in a continuous sweep rather than discrete frames. Video is a valuable complement to still photography, not a substitute for it. Still photos remain more useful for close-up detail, for scale reference, and for the kind of image that gets extracted and used individually in a claims file or a report. Do both where practical: a video walkthrough for context, followed by the structured wide-medium-close still photo sequence for detail.

What to Do With the Photos Once Taken

Photographs are only useful if they're accessible when needed. Transfer them off the phone to cloud storage or another backup location promptly, both to protect against losing them and to create a record with a clear upload timestamp separate from the capture timestamp. Organize them by area or room if the volume is significant, and be prepared to provide them to the carrier promptly upon request, delays in providing documentation can slow the claims process independent of the documentation's quality.

The Operational Lessons

Follow the wide-medium-close sequence for every distinct area of damage. Context, then relational detail, then close-up. Skipping the medium shot is the most common gap, and it's the one that leaves an adjuster unable to reconstruct exactly where a close-up detail sits within the room.

Include a scale reference in close-up shots. A tape measure, a common object, or a hand in the frame turns an ambiguous close-up into a photograph that conveys actual size.

Photograph the apparent cause, not just the damage it produced. The appliance, the pipe, the fixture, whatever appears connected to the incident's origin, deserves its own documentation, separate from the resulting damage.

Photograph relevant safety equipment and its apparent condition, including manufacture dates where visible. This connects directly to how a claim involving fire or CO exposure gets evaluated.

Document unaffected areas alongside the damage. This establishes the boundary of the loss and creates a more complete record of the property's condition immediately after the incident.

Preserve photo metadata and transfer files promptly. Avoid edits that strip timestamp data, and get the photos into secure, accessible storage as soon as practical.

The Bottom Line

Taking photos after an incident is something almost every operator already knows to do. Taking photos that actually function as usable claims documentation, that answer the specific questions an adjuster needs answered, that establish scale and cause and boundary, that capture the safety equipment and the source alongside the damage itself, is a different and more specific skill, and it's one that costs nothing beyond a few extra minutes of attention during an already stressful moment.

The difference between a phone full of damage photos and a documented claims record is almost entirely a matter of sequence and intention. Following the same structure every time, wide, medium, close, with scale reference, cause documentation, and unaffected-area context, turns a stressful, reactive task into a repeatable habit that consistently produces what the claims process actually needs.
